Your collection campaign, run by our team.

A campaign that comes back every year ties up your teams for weeks: sending, reminders, calls, incomplete files. With a managed campaign, the Nestor team handles it on the Nestor platform. You approve the messages and the schedule, you follow progress, and you receive complete files.

01When to delegate

The campaigns that overflow every year.

A managed campaign makes sense when the volume is high, the window is short and your teams have better things to do than send reminders.

  1. 01

    A large number of recipients

Hundreds or thousands of tenants, clients or employees to ask for the same documents.

  2. 02

    A regulatory deadline

A mandatory survey, an update of client files, yearly supporting documents: the date does not move.

  3. 03

    Recipients who need help

Some do not know which document to provide or how to upload it. Someone has to answer them.

  4. 04

    A team already stretched

The campaign falls when your teams already have their day-to-day work to handle.

02Who does what

You stay in control. We do the work.

A typical campaign runs in five phases. For each one, the split of work is set during scoping.

  1. 01Scoping
    The Nestor team
Setting up the requests, the form and the reminders. Importing your recipient file. Testing.
    Your team
Approving the messages and the schedule.
  2. 02Launch
    The Nestor team
Sending the invitations. A space opens for each recipient.
    Your team
Briefing your teams who deal with the recipients.
  3. 03Collection
    The Nestor team
Recipient support, checking the files received, reminders, special cases.
    Your team
    Following progress on the dashboard.
  4. 04Close
    The Nestor team
Final reminders. Preparing the follow-up for those who have not answered.
    Your team
Deciding the follow-up actions, and sending the letters that are yours to send.
  5. 05Delivery
    The Nestor team
Consolidated files, archive of the files and a campaign review.
    Your team
Loading the files into your tools.

03What the service includes

A platform, a team, deliverables.

The Nestor platform

  • A private space per recipient, opened with a link or a code received by email, with no password.
  • From any mobile browser, with no app to install.
  • Precise requests and a form whose questions adapt to the answers.
  • Scheduled reminders that stop for those who have answered.
  • Your colors, your logo and your sender name in the emails and screens.
  • A timestamped activity log, exportable to CSV.

A dedicated team

  • A single project manager, from scoping to close.
  • Operators who check the files received and handle special cases.
  • Support for your recipients throughout the collection.
  • A weekly progress update, by recipient segment.
  • Alerts on groups with low response rates, to target reminders.

Ready-to-use deliverables

  • Consolidated answer files, in the format your tools expect.
  • The files of non-respondents, prepared for the follow-up you decide.
  • The complete archive of the files, timestamped and exportable.
  • A campaign review, with suggestions for the next one.

Paper mail option

For recipients who do not answer online, we handle the paper circuit: sending, receiving, scanning and attaching to the file. Tracking stays in one place, and only the volume actually processed is billed.

04An example

SLS and OPS surveys for French social housing landlords.

Every fall, French social housing landlords must obtain their tenants' tax notices and household composition, then send data to the prefect, the State's representative. This is the kind of campaign our team runs from start to finish.

05Getting started

Three steps before launch.

Allow six to eight weeks between scoping and launch.

  1. Step 01

    A scoping meeting

45 minutes on your current campaign: volume, schedule, documents requested, what your current organization costs. You receive a firm quote within 10 days.

  2. Step 02

A pilot or the whole campaign

You can start with one branch or one region before expanding, or hand over the whole campaign.

  3. Step 03

    Launch

Your team oversees, ours carries out: sending, collection, reminders, support and deliverables.

06Frequently asked questions

Frequently asked questions

Who remains responsible for the campaign?

You do. You approve the messages, the schedule and the follow-up for those who have not answered. Our team runs the campaign within that frame and reports to you every week.

Does your team check the documents received?

Our operators check that each file is complete and that the documents match the request, and send back to the recipient those that do not fit, with the reason. Regulatory checks, such as identity verification for KYC, remain your responsibility.

Do recipients see the Nestor name?

The emails and screens carry your colors and your logo, and can be sent from your own sender address.

Where is the data hosted?

In France, on fully sovereign European infrastructure. Exchanges are encrypted in transit and files are encrypted at rest by our hosting provider.

How is the price set?

It depends on the number of recipients and the options you choose, such as paper mail or integration with your software. The price per recipient goes down with volume. After the scoping meeting, you receive a firm quote within 10 days.

Another question?Choose the topic of your request: our team answers by email.
