Collect

Forms, document requests, and information: gather everything you need in one place.

A supporting document, a completed form and bank details join a file. The dots stand for what has been received, which your team validates.

Before Nestor

An email, a spreadsheet, a shared folder. And always one document missing.

Documents arrive by email, progress is tracked in a spreadsheet, files end up in a shared folder and questions in a chat app. In Nestor, the file fits in one space: the requests, the documents, the messages, and their history.

01A campaign

Your yearly collection, run as a single campaign.

Every year, the same documents and the same information to gather from hundreds of clients, partners, or employees. You prepare the request once, each person answers in their own space, and you follow everything from one dashboard.

  1. 01PrepareThe documents you expect and their format, a form to fill in, the campaign deadline.
  2. 02SendYou pick your recipients from your contacts, filtered by their attributes. Each one receives a link to their own space, with no account to create.
  3. 03RemindReminders go out on the schedule you set and stop for those who have answered.
  4. 04TrackThe dashboard shows who opened their space, who answered, and what is left to validate. You validate each document, or send it back with a reason.
  5. 05AdjustA new recipient joins the campaign along the way. A clarification for everyone goes out in a single message.
  6. 06Start againThe following year, you duplicate the campaign: recipients, requests, form, and reminders carry over. You adjust the dates, then send it.
A request prepared once goes out to one space per recipient. Each space has its status: documents validated, has answered, has opened their space, not opened yet.
One requestPrepared once
  • Recipient 1Documents validated
  • Recipient 2Has answered
  • Recipient 3Has opened their space
  • Recipient 4Not opened yet

And the next ones, by the hundreds

A request prepared once goes out to one space per recipient. Each space has its status: documents validated, has answered, has opened their space, not opened yet.

The campaign log keeps every sending, upload, and validation, and exports to CSV.

02A file

One recipient among many: their file, from request to signature.

In the campaign, each recipient has their own space. The file does not stop at the initial checklist: you talk, you add to it, you sign.

  1. Your team

    Receives the first documents

Opens their space with the link received, uploads their supporting documents, fills in the form in two sittings
What has been uploaded, what is missing, the deadline
  2. Your team

    Replies in the conversation

Asks which document to provide instead of one they do not have
The conversation stays in the file, next to the documents
  3. Your team

Sends a document back: it is out of date

Sees “Correction requested” and uploads the right version
The new document awaits your validation
  4. Your team

Adds, for this recipient only, an additional request: their situation calls for it

Answers it in the same space
The request joins their list of documents
  5. Your team

Sends them a document to sign

    Signs from their space
The signed document and its evidence file are stored in the file
  6. Your team

Validates the last documents and closes their space

The file is complete, its history stays available

Every step is logged, and the decision on each document remains yours. No more rebuilding the state of a file from your emails.

03Three ways to open a file

A file, a group request, or a simple link.

Whatever the starting point, the rest happens in the file's space: messages, additional requests, forms, signature.

One space per file, with the right people on each side.

The messages, requests, forms, and signatures of a file stay together. When a document or a detail is missing, you ask for it in the same place.

  • Your team and the people you work with
  • Open requests and their deadlines
  • The conversation, documents, and their versions
  • Contracts to sign

Call for tenders for works

Each contractor you consult uploads its quote and certificates to its own space, reminders go out on their own, and the condominium board finds the offers in one place.

07Frequently asked questions

Your questions, our answers.

Do the people I work with need to create an account?

No. They access their space with a link or a code received by email, or with their Google or Microsoft account. On a portal, they verify their email address with a code before uploading.

Can I send the same request to several people?

Yes, with a campaign: a single request, sent to hundreds or thousands of recipients. Each one has their own space, and you track everyone's progress on a dashboard.

How do I know what is missing from a file?

Every request has a status: awaiting an answer, to validate, sent back for correction, or validated. You see progress recipient by recipient, and automatic reminders stop for those who have answered.

Does Nestor verify ID documents?

No. Nestor collects the documents, files them and tracks their status; your teams check them.

Where is the data hosted?

In France, on fully sovereign European infrastructure, with no dependency on the US CLOUD Act. Exchanges are encrypted in transit, and files are encrypted at rest by our hosting provider. Nestor is pursuing ISO/IEC 27001:2022 certification.
