Condominium works tenders: collect the contractors' quotes.

Each contractor you consult uploads its quote and certificates to its own space, reminders go out on their own, and the condominium board finds the offers in one place.

01Today

A call for tenders lost in email.

For major works, you request several quotes, compare them, get the opinion of the condominium board (conseil syndical), then present the offers at the general meeting of co-owners. By email, each step means gathering everything by hand.

  • Quotes and certificates scattered across several inboxes, sometimes in several versions.
  • Contractors who do not know whether their offer is complete, and reminders written one by one.
  • A group email in which each contractor sees its competitors' addresses.
  • A file to rebuild for the condominium board, then again for the notice of the general meeting.

02What you request

A precise request for a quote, the same for each contractor.

Examples to adapt to your call for tenders. Each request states the expected format, the number of files and the deadline.

03How it works in Nestor

From the request for quotes to the condominium board's opinion.

  1. 01

    Prepare the request

The specifications, the expected documents and the deadline. For your next calls for tenders, save the message and the form as templates.

  2. 02

    Consult the contractors

A campaign to the contractors you have chosen: each receives the request in its own space and sees only its exchanges with you. For an open call, share a portal link instead: each submission creates a separate space.

    Answer questions

A clarification that applies to everyone? Send the same message to every contractor in the campaign. A question about one quote is handled in that contractor's space.

    Track the answers

The dashboard shows who has opened their space, who has answered and what remains to validate. Reminders go out on their own, one can go out before the deadline, and they stop for contractors who have answered.

Share the shortlist with the condominium board

The selected quotes are placed in a space reserved for board members, who ask their questions and give their opinion by message. You know who has viewed each document.

04Scope and limits

Nestor organizes the call for tenders. The rules remain those of your condominium.

The French condominium law of July 10, 1965 (loi du 10 juillet 1965, article 21) leaves it to the general meeting to set two amounts: the one above which the condominium board must be consulted, and the one above which competitive bidding is mandatory. When the general meeting has not set the conditions, competitive bidding consists of requesting several quotes (decree of March 17, 1967, article 19-2).

The essential terms of the proposed contracts are then sent with the notice of the general meeting called to vote on them (article 11 of the same decree). Choosing the contractors, the thresholds and the notice remain your responsibility.

They work in a campaign, not on a portal. To send reminders to specific contractors, consult them through a campaign.
On a portal, if you turn on the option, the contractor can download a proof of submission. It has no legal value.
Nestor is not a registered electronic mail service: the notice of the general meeting follows its usual forms.

05Frequently asked questions

Frequently asked questions

Do contractors have to create an account?

No. In a campaign, they access their space with a link or a code received by email. On a portal, they submit their quote after verifying their email address with a code.

Can a contractor see the other contractors' quotes?

No. Each contractor has its own space, whether it is consulted through a campaign or a portal. It sees only its exchanges with you.

How do we answer a question that concerns every contractor?

Send the same message to every contractor in the campaign: each receives it in its space. You can also add a contractor while the call for tenders is under way.

Can we set a deadline for submitting offers?

Yes. The request carries a deadline, and you can schedule a reminder before it. On a portal, you can also schedule when the link opens and closes, and limit submissions to one per visitor.

Do large plans and quotes go through?

Yes. There is no size limit per file uploaded to Nestor; only imports from a connector are limited to 100 MB per file. Total storage depends on your plan.

Do condominium board members have to install an app?

No. They sign in from a browser, on a computer or a phone, with a link or a code received by email.
