AML: gather your clients' identification documents.
When a new client comes in, the request that fits their profile goes to their space, and the reminders stop once the file is complete. Verification remains yours.
01Today
Identification documents that trickle in.
ID, Kbis extract (the French company registration certificate), articles of association, beneficial owners: before certain engagements, the firm must gather these items and keep them. By email, they arrive in several batches, get mixed up with the substantive discussion of the matter and are hard to find when an inspection comes.
- IDs sent as attachments, sometimes as an unreadable photo.
- Articles of association and Kbis extracts to request again because they are out of date.
- Beneficial owners to identify for every corporate client.
- A record of the exchanges spread across several colleagues.
02What you request
One request template per client profile.
Examples to adapt to your internal procedure. The firm prepares its templates once, then reuses them for every new client.
- DocumentIDOf the client, or of the executive for a company. Front and back, as a PDF or an image.
- DocumentThe up-to-date Kbis extract and articles of associationFor a company, with an instruction on how recent they must be.
- FormBeneficial ownersIdentity and ownership share of each one, with their ID: the form accepts attachments and repeatable groups.
- QuestionSource of fundsAsked only when the engagement requires it, thanks to conditional questions.

04Scope and limits
Your due diligence obligations remain yours. Nestor makes the collection easier.
Lawyers are subject to anti-money laundering and counter-terrorist financing obligations (LCB-FT in French) for certain activities, in particular when they assist their clients in real estate or financial transactions, or in setting up companies (French Monetary and Financial Code, or Code monétaire et financier, articles L. 561-2 and L. 561-3). These obligations include identifying the client and its beneficial owners. In principle, they do not apply to legal advice or to activities related to court proceedings.
Nestor collects, sends reminders for and organizes the documents. Verifying them, assessing the risk and keeping them for the required period remain the firm's responsibility.

05Frequently asked questions
Frequently asked questions
Does Nestor verify our clients' identity?
No. Nestor requests, organizes and tracks the identification documents. The firm verifies them and analyzes the risk.
Can we adapt the documents requested to the client's profile?
Yes. You prepare a template per profile, and a form's questions can appear depending on previous answers.
Does the client have to create an account?
No. They open their space with a link or a code received by email, or with their Google or Microsoft account.
Where do the documents stay once the file is complete?
In the client's space, which remains available after it is closed. Retention and end-of-access rules applied automatically are in development.
Can we update the documents of all our clients?
Yes. A campaign sends the same request to every client concerned, each in their private space, with a dashboard of what is missing.
